Expectations & Code of Conduct

Being a Brentwood member, adult, child, or parent/guardian carries responsibilities to behave in a positive and considerate manner. Breaches in our Expectations & Code of Conduct are taken seriously and may result in membership being reviewed.
Court Etiquette

Be courteous and considerate to other members and our neighbours at all times

Club opening times are 8am - 9pm however please be aware we are in a residential area and are respectful of others space and privacy - Players must book their court via ClubSpark before arriving at the club

Take care of club property - courts and clubhouse

No bikes, scooters, buggies, or pets are allowed on court. No pets allowed in the clubhouse

Wear non-marking tennis shoes & wear suitable sports clothing when playing
-
When entering courts 3/4 & 5/6 wait for an appropriate time to cross at the back of the court for adjacent court access (i.e. the end of a point) and allow those on court to move and give you space

Avoid chasing the ball across another court if other players are using it
-
Please take your litter (eg. ball tubes, drink bottles etc) with you - recycling bins are also in the clubhouse

Lock the courts after you have finished your session

Lock the clubhouse when you are leaving - check all doors/windows are secured & lights are off

Please note children under 16 aren’t allowed in the clubhouse (other than to use the toilet) - other than those aged 13-15 years old under coaching/parent/responsible supervision

Only 18 years old and over allowed in the bar area

No adults are allowed in the changing rooms/toilets if a child/children or vulnerable adult/s are using, please wait outside until free - see our Changing Room Policy

Refrain from making physical contact with children or adults unless it is necessary as part of an emergency or congratulatory (e.g. handshake / high five)

Read all our current Guidelines, Policies and fully understand the club’s expectations and adhere to our Code of Conduct
If you see anyone using the facilities incorrectly or damaging anything please ask them politely not to and contact one of the members of the committee. The club belongs to its members, please play your part in caring for it.
Code of Conduct
All Brentwood coaches, adult members and volunteers agree to:

Be a positive role model. Act with integrity at all times.

Prioritise the well-being of all children and vulnerable adults

Treat all children and adults fairly and with respect

Help to create a safe and inclusive environment both on and off court

Value and celebrate diversity and make all reasonable efforts to meet individual needs

Not bully, intimidate or harass anyone, including on social media - see our Anti bullying Policy & Online Safety Policy for more information

Not allow any rough or dangerous behaviour, use of bad or inappropriate language
-
Not abuse, neglect, harm or discriminate against anyone; or act in a way that may be interpreted as such
-
Respect the rights, dignity and worth of all participants regardless of age, gender, ability, race, culture, religion or sexual identity

Adhere to your venue’s Safeguarding Policy, Diversity and Inclusion policies

Not use any sanctions that humiliate or harm a child or vulnerable adult
-
Keep clear boundaries between professional and personal life, including on social media
-
Have the relevant consent from parents/carers and adults before taking or using photos and videos - see our Online Safety Policy

Ensure roles and responsibilities are clearly outlined and everyone has the required information and training
-
Avoid being alone with a child (without prior parental agreement or unless there are exceptional circumstances); similar caution should be taken with and for vulnerable adults

No children under 16 years old are allowed in the clubhouse without their parent/guardian, unless under coach supervision

No adults is allowed to transport a child/children or vulnerable adult/s alone, unless this is required as part of a club activity (e.g. away match). Make sure the Transportation guidance is followed and signed by the parent/guardian

Not have a relationship with anyone under 18 years old for whom they are coaching or responsible for

Be acutely aware of the power that coaches and coaching assistants develop over players in the coaching relationship and avoid any intimacy (sexual or otherwise) with players

Report all allegations of abuse or poor practice to one of the club’s Welfare Officers - Mary Wilton or Liesa Harrison at brentwoodwelfare@gmail.com
All children agree to:

Be friendly, supportive and play fairly and honestly

Respect our Coach(s), Officers and supervising adult members and accept their decisions - if you feel differently please speak to another supervising adult

Take care of your equipment and club property

Respect the rights, dignity and worth of all participants regardless of age, gender, ability, race, culture, religion or sexual identity

Not use bad, inappropriate or disrespectful language, including on social media

To be familiar with Brentwood’s Online Safety Policy & not post photos online without prior consent

To have read the Court Etiquette and Code of Conduct - and ask if there is anything you do not understand about our rules or information

All parents, guardians and carers agree to:

Positively reinforce your child and show an interest in their tennis - lead by example
-
Use appropriate language at all times
-
Be realistic and supportive - the LTA have guidance for Parents in Tennis about supporting children and helpful online resources

Never ridicule or admonish a child for making a mistake or losing a match
-
Treat all children, adults, Coaches and Officers with respect
-
Behave responsibly at the venue; do not embarrass your child
-
Accept the Coach’s/Official’s decisions and do not go on court or interfere with matches
-
Encourage your child to play by the rules, and teach them that they can only do their best
-
Deliver and collect your child punctually from the venue
-
Ensure your child has appropriate clothing for the weather conditions (sunhat, coat etc.)

Ensure that your child understands their Code of Conduct

Have read the current Brentwood guidelines, policies and fully understand the clubs rules
-
Adhere to your venue’s Safeguarding Policy, Diversity and Inclusion policies

To be familiar with Brentwood’s Online Safety Policy and Photography & Filming Policy and not post photos online without prior consent

Provide emergency contact details and any relevant information about your child including medical history
-
Ensure your child uses and takes care of the courts and clubhouse
-

We do not allow children under 16 to be in the clubhouse without supervision from their parent/guardian unless under the care of the coach(s) while at coaching or kids camp

Children may use the courts from the age of 13 without coaching/parent/responsible adult supervision

Please do not give your clubhouse keys to your child

Contact the club Welfare Officers, Mary Wilton or Liesa Harrison about any concerns or worries they have about themselves or others
Accidents & First Aid
A First Aid box is available in the clubhouse kitchen along with the accidents book - please fill out and inform Liesa Harrison.
A defibrillator is located externally attached to the clubhouse on the entrance steps above the garage.
If you had an accident which required medical treatment please inform Steve Wood, Nina Wightman, Mary Wilton or Liesa Harrison. We have a duty of care towards our members and everyone who plays at Brentwood. It is very important we have all the information as soon as possible, to help you, and to assess any immediate health & safety issues or risks for other players.
If your child had an accident during coaching please seek advice from Ben Howarth/Bradley Stoneham - who both hold a First Aid qualification.
Clubhouse & court maintenance
If you notice anything broken, damaged or missing at the club please contact Steve Wood or Mark Joy.
No children under 16 are allowed in the clubhouse without their parent/guardian.
Court Bookings
Players must book their court via the ClubSpark website or on the ClubSpark Booker App.
If you have not booked a court online before, you must register with ClubSpark and create a password the first time you book.
Floodlights
Court 1 & 2 are now available to book for floodlight use £2 = 30mins. Email brentwoodtennis.sheffield@gmail.com to purchase tokens. Contact Dee for clubhouse keys.
The token machines are in the main entrance hall on the right as you enter the clubhouse. One per court as marked. The token slot is on the right hand side of the box.
Please remember to lock up the courts, internal doors, windows and make sure the clubhouse is locked when you leave.
Visitors
We are happy to allow adult & junior visitors. This will follow the usual allowance of 6 visits per visitor per year. Please familiarise your visitor with our current rules in full before they play. A visitor may only play singles with one member OR as part of a doubles four with at least one member.
Visitor's fees are £3 adults / £2 juniors. These must be paid at the time of playing. Either place the correct money into the visitor box inside the clubhouse or they can be paid online directly into the club account, details as follows:

Along with your payment, please send an email to Dee Hendra - Membership Secretary - stating your name, the name of the visitor, date of play and confirmation that the payment has been made. Visitors must be ‘signed in’ as part of the club’s legal policy and insurance requirements.
